As you can imagine, there are many considerations when arranging a marquee wedding reception.
Your Wedding Day, potentially the happiest and one of the most important days of your life, needs to be kept as free as possible from the stress that often accompanies organising all the finer details - and in any case if you are going to enjoy the day you are going to have to rely on other people at some stage.
Employing professionals who are conversant and accustomed to foreseeing potential problems early enough to have solutions ready is a course of action you should seriously consider. This could be worthwhile to help you design and plan your perfect day or indeed purely to employ equipment and service suppliers as required - caterers, florists, marquee supplier etc.
Good suppliers will not just provide a product or service in isolation but will consult with their client to check that it is the correct specification, and will do the job it is designed to do perfectly, and to discuss how their product affects / is affected by any other product being supplied.
Example:
Marquee Suppliers: Should initially check that the table layout fits, that the marquee is not too big (so losing atmosphere) or too small (too cramped and uncomfortable).
The professional marquee supplier will check on delivery & collection timings, will ensure grass lawns are protected, and will be flexible on numbers so that last minute additions can be accommodated.
The marquee supplier must also consult with the caterer to ensure they have sufficient space, both inside and outside the marquee, for them to operate effectively. This means both Service/Preparation Area (back of house) and Dining / Bar areas within the main body of the marquee itself.
You will invariably find it very worth while to get the key suppliers together for a site meeting to ensure everyone is clear about your requirements for the day.
Bad Weather
Good weather is certainly not something you can guarantee for your Big Day. However, with good contingency planning the effect of rainy or cold weather can be minimized so as not to spoil the day.
Car Parking: If cars are going to be parked in a field (or any soft surface) you may like to consider trackway/temporary roadway, or at the very least have a contingency 4-wheel drive available to help pull cars out at the end of the day.
Umbrellas or covered walkways are essential when avoiding guests getting wet between the car park and the marquee.
Good suppliers will not just provide a product or service in isolation but will consult with their client to check that it is the correct specification, and will do the job it is designed to do perfectly, and to discuss how their product affects / is affected by any other product being supplied.
Electrics: Make sure your electrical contractor / marquee supplier uses approved outdoor connecting plugs to avoid nasty surprises before or during the event.
As a rule try and ensure that all electrical distribution is competent and in accordance with appropriate regulations. Whilst you may not be aware of these exact regulations, as a guideline, if your gut feeling is that the workmanship is poor, the chances are it probably is.
Reception Area: Do not rely on the weather being fine, guaranteeing an outside reception. Ensure that there is sufficient space within the marquee to hold all of your guests should the heavens open.
Heating: Just as your guests will remember a party for all the spectacular and wonderful special effects and goings on, they will also remember those things that went wrong.
Make sure you have adequate provision for heating, and ensure you have doors which can be closed to avoid uncomfortable drafts.
It is always worth considering heating even if your Big Day is mid-Summer. When the sun sets the temperature can drop dramatically, and this needs to be considered especially for your older guests.
Toilets: In Winter we often put our toilets inside the marquee - this effectively means that guests are kept warm and dry from beginning to end.
In Summer, whilst it is still common for toilets to be incorporated inside the marquee, it is often sufficient to provide a covered walkway to the unit/s situated outside.
In essence, marquee events do bring with them special requirements and can occasionally bring problems. However, if thoroughly planned and professionally managed by a competent and experienced contractor the marquee aspect of your event should run very smoothly indeed.
