How We Work
First Point of Contact
At Complete Events we believe we need to fully understand the customer's needs and vision for their wedding, birthday party or other marquee event. As a result we initially spend time, typically over the telephone, getting as good a brief for the event as possible. Often this not only covers the basic fundamentals like expected numbers, date, location etc, but also details like catering ideas (i.e. buffet or waitress service?), entertainment (i.e. disco and/or band?) etc.
We also discuss details relating to the proposed marquee site, whether it is grass/hard-standing/gravel etc, whether it is flat or uneven/on a slope and such like.
Sometimes we can offer instant advice over the telephone about whether we believe the event is fundamentally feasible, and also we can provide guideline ball park costs so that our customers can start to build up an idea of what is involved and roughly how much it will all cost.
If it is deemed more appropriate by both parties, we are very willing to visit our customers to take an initial brief. This is often much more sensible where particular site issues/restrictions are so overriding that attempting an initial estimate without visiting the site first is almost pointless.
Please do give us a call if you have a forthcoming marquee event in mind and you just want some advice.
We are frequently asked whether we can help with sourcing venues for marquee events, and where possible we advise accordingly.
We are always 'upfront' and honest with potential customers - for example if we think that their requirements cannot be met with their stated or target budget we will always say so, thus saving all parties involved from wasting time and money. If there are alternative solutions that perhaps could bring the event within budget then we will of course advise accordingly.
Initial Estimate
After the first contact we will appoint a SALES MANAGER & ADMINISTRATION MANAGER for the enquiry and we work on putting together an initial estimate and design for your particular event, based upon the information we have received during initial discussions.
It is always our aim to be as accurate as possible with our estimate, and to respond as quickly as possible. If you need an estimate by a particular deadline (e.g. for a family meeting) please let us know as early as possible and we will endeavour to deliver. We work equally happily by email, fax, post or telephone, even by courier delivery service if required.
The chances are we have not seen the proposed site at this stage: Therefore we reserve the right to modify the estimate if problems or benefits of the site become apparent after a subsequent site visit.
Often our estimates will be accompanied by an outline layout plan of the marquee, which our customers find very useful in helping them understand the quotation - we are very aware that with many marquee companies you simply get a shopping list of equipment with little or no explanation of what the costs relate to and what you are actually being quoted for. We always aim to make our quotations understandable by anyone!
Detailed Planning
To ensure the smooth and stress-free running of a marquee event we set time aside to plan and co-ordinate much of the detail in advance. This means that all parties involved are fully aware what is expected of them, and there is less chance for last minute surprises which necessitate rushed (and often expensive) last minute solutions. In particular we liase with the key suppliers to the event (caterers, entertainers, florists, toilet suppliers etc) to ensure all their requirements are met and they know when they are arriving and leaving with their equipment/service.
Obviously we do take care to include our customers wishes to ensure as little disruption as possible in the run up to the event date!
Marquee Build
For the actual build and dismantlement of your marquee a dedicated
SITE MANAGER will work with you in addition to our Sales and Administration Managers. He will liase with our technical team, and will be your on site contact, making sure that all your requirements, queries and concerns are dealt with as quickly and efficiently as possible.
We find that our customers gain a huge amount of reassurance and confidence from having a constant, experienced on-site contact, as well as office support from the initial point of contact through to when the final piece of equipment leaves the site.
